Our Procurement Coordinator

Our Procurement Coordinator plays a key role in supporting smooth operations across the estate by ensuring that stock forecasting, ordering, and control are accurate and efficient. Reporting to the Merchandising Project Manager, you’ll manage purchasing activity across a wide range of food, drink, packaging and consumables — working closely with departments such as kitchens, bars, housekeeping and retail to maintain optimal stock levels and minimise waste.

You’ll act as the link between departmental forecasts and supplier deliveries, ensuring our central warehouse remains well-stocked with the right products, at the right time.


Key Responsibilities

  • Raise and manage purchase orders, communicating directly with suppliers.
  • Liaise with department teams to maintain up-to-date forecasts and product lists.
  • Track deliveries, book them in with the warehouse team, and chase any late or missing stock.
  • Monitor stock levels and movements, producing weekly reports to support planning.
  • Maintain accurate shelf-life information and act early to avoid wastage.
  • Work with the Goods In and Finance teams to reconcile paperwork and request credit notes where needed.
  • Ensure all supplier and product information is accurate and current.
  • Support product set-up on internal systems and communicate any cost price changes.
  • Assist the operational team with goods movement and stock handling.

What We’re Looking For

  • Excellent time management with the ability to prioritise multiple projects.
  • Strong interpersonal skills and a collaborative mindset.
  • Proficient in Excel, including formulas and lookup functions.
  • Solid understanding of financial processes such as POs, SOs and invoicing.
  • Experience working in a procurement, merchandising or retail team handling consumer products.
  • Awareness of product value, market trends, and competitor activity.


Desirable

  • Experience using Sage X3.
  • Supplier management and negotiation experience.
  • Understanding of warehouse processes and goods-in procedures.
  • Passion for product and a drive to support best-in-class standards.

Where You’ll Be Working – The Product Team

The Product Team oversees all product-related activity across the estate, including retail (on-site and online), hospitality, events, and wholesale. Within this, the Merchandising Team manages stock control for food, drink, packaging, and consumables.

The team’s goal is to ensure products reflect The Newt’s core values: seasonality, local sourcing, and exceptional quality. By working closely with internal departments and producers, the team supports operations across the estate while minimising waste and ensuring full visibility of stock availability from our central warehouse.
